About the Role

Dakota Group is seeking a highly organized, proactive Executive Assistant & Office Manager to support the CEO and broader leadership team while maintaining smooth, high-functioning office operations. This role is ideal for someone who excels in fast-paced environments, takes initiative without prompting, and maintains a sharp attention to detail across executive support, facilities oversight, and administrative workflows.

Key Responsibilities:

Executive Support

  • Manage daily executive calendar, meeting coordination, and office prep
  • Handle travel planning, document organization, and inbox triage
  • Maintain confidentiality and manage preference profiles for key executives
  • Track and support action items, meeting follow-ups, and internal communications

Office Management & Facility Oversight

  • Own daily office readiness (coffee station, conference rooms, visitor areas, kitchen, printers, and executive spaces)
  • Monitor and reorder inventory, office supplies, snacks, and beverages
  • Oversee vendor relationships, cleaning schedules, maintenance, and building services
  • Ensure an organized, welcoming, and operational workspace every day

Logistics & Package Coordination

  • Track inbound and outbound deliveries and handle any required returns
  • Maintain systems to ensure essential items are available and replenished on time
  • Liaise with vendors (Amazon, Uline, and others) and monitor quality control

New Hire Setup & Onboarding Support

  • Prepare workstations with equipment, supplies, and welcome kits
  • Coordinate building access, key introductions, and first-week onboarding plans
  • Ensure systems and software access is configured in advance

Meeting & Event Preparation

  • Prepare executive meeting spaces with materials, catering, and technology
  • Support during meetings as needed and ensure post-meeting documentation
  • Oversee scheduling and hospitality for VIP guests or internal events

Qualifications

  • 2–5 years of executive support and/or office management experience
  • Highly detail-oriented, organized, and dependable
  • Strong written and verbal communication skills
  • Proficient in Google Workspace, Slack, and office inventory management tools
  • Able to manage competing priorities in a high-accountability, in-office environment

Compensation & Benefits

  • Competitive salary range from $60k to $78k (commensurate with experience)
