Description of position: The Paralegal/Legal Assistant (Litigation) will provide administrative and paralegal support for attorneys in the litigation, marketing and privacy groups in the Legal Department. This position provides support in tracking, routing, researching, communicating, and processing of litigation and regulatory-related legal matters including lawsuits (federal, state, small claims), arbitrations, government inquiries, subpoenas, vendor bankruptcies, garnishments and other substantive legal areas.  Pay range : $68,640 - $85,010 / year. The option of working from home up to two days per week is offered, subject to occasional variation in business needs.

Responsibilities:

· Communicates by phone and email with internal Costco clients and outside counsel.

· Updates and maintains litigation and privacy groups’ document database, including adding new matters, updating existing matters, and creating and running reports from the database.

· Completes factual and legal research on matters as they arise, including document analysis, legal questions, member issues, and due diligence.

· Works on special projects as necessary, such as evaluating and implementing legal operations initiatives, modernizing internal processes or handling business escalations.

· Routes new matters to relevant business teams, vendors and outside counsel; follows up as appropriate and tracks responses.

· Supports and coordinates matters that are assigned to outside legal counsel, including coordinating Costco’s participation in formal and informal discovery-related matters.

· Tracks compliance issues and follows up with responsible persons across several departments; logs transactions and events into Costco tracking and compliance tools.

· Reviews, codes, and processes outside counsel invoices for payment, including verification against Costco’s outside counsel policies; communicates with outside counsel and internal legal team members to resolve issues.

· Responds to subpoenas; prepares, sends and tracks litigation hold notices; prepares invoices for payments; tracks budgets; and assists with preparation of summary reports.

· Makes travel arrangements and prepares expense reports.

· Prepares correspondence, documents and presentations; takes responsibility for proofreading, formatting, consistency and accuracy on time-sensitive, high-profile documents.

· Calculates and calendars court and other deadlines.

· Establishes and maintains paper and electronic files and filing systems;

· Assists attorneys with CLE (continuing legal education) and payment of annual bar association dues.

Experience, Skills, Education & Licenses/Certifications

Required:

· Proven and reliable ability to maintain confidentiality in all legal matters.

· Proactive attitude, high engagement, and a strong interest in learning.

· Proven ability to stay calm and congenial, work effectively as a single member of a larger team, and to adjust positively to changes in direction and/or assignment.

· Advanced skills using Microsoft Office suite, Google tools, Adobe Acrobat, and Foxit PhantomPDF.

· Strong attention to detail and interpersonal skills with an emphasis on written and verbal communication.

· Well-organized, able to identify and prioritize tasks, excellent troubleshooting skills, and ability to successfully manage multiple projects.

· Ability to make sound critical decisions and accept personal responsibility for those decisions.

Recommended:

· Strong familiarity with litigation, contracting processes and commercial contracts. Experience with Thomsen Reuters Legal Tracker preferred but not required.

· Significant experience as a litigation legal secretary/legal assistant/paralegal in a law firm or in-house legal department.

· High School Diploma or GED required; some college preferred. Paralegal certificate a plus.
